You can have AI chatbot lead capture setup running on WhatsApp in about a week, using an off-the-shelf provider, for a few thousand rupees a month. No custom development, no AI project. The work isn’t technical. It’s deciding what three questions the bot must ask, and who replies when it captures someone at 11pm.

That second part is where almost everyone fails. A bot that collects an enquiry nobody answers until Monday hasn’t saved the lead, it has just disappointed the person faster.

You need a real bot when the enquiries need sorting before a human touches them. A coaching institute getting mixed questions about Class 10 batches, NEET coaching and fee structures is sorting, not answering. So is a clinic separating new-patient bookings from report queries from vendor calls.

Here’s the part most vendors won’t tell you: the bot’s job is to qualify and book, not to be knowledgeable. For a clinic especially, a chatbot that improvises about treatment, outcomes or eligibility is a liability, not a feature. Constrain it to your fees, timings, location and services, and let it hand anything else to a person.

Should the chatbot sit on your website or on WhatsApp?

A website widget conversation is anonymous and dies when the tab closes. You get a transcript and no way to follow up. WhatsApp chatbot leads arrive with a verified phone number attached, survive the visitor closing everything, and land in an app your buyer already checks forty times a day.

Use a website widget only if your enquiries really do come from desktop research sessions, which is sometimes true for consultants selling to companies. Even then, make its primary button “continue on WhatsApp”.

Work through these in order. Steps 1 to 3 are the ones that decide whether the rest is worth doing.

  1. Write down the three questions you need answered before you can quote or book. For a clinic: what’s the concern, which doctor or department, when do you want to come. Three. Not eight. Every extra question loses people.
  2. Decide your reply window and put a name against each slot. Weeknights until 10pm, Sunday mornings, whatever is real. A bot without a rostered human is a complaint generator.
  3. Prove demand on the free WhatsApp Business app first. Set a greeting message and an away message with your booking link. Run it for two weeks and count how many after-hours enquiries you actually get. If it’s four, you don’t need an API yet.
  4. Get a WhatsApp Business API number through an Indian provider once volume justifies it. AiSensy, Interakt, Wati and DoubleTick all serve this market. Budget for the provider’s monthly plan plus Meta’s per-message charges.
  5. Use a separate number for the API. A number active on the WhatsApp Business app cannot also run on the API, and migrating your existing number means losing the app’s chat history. Decide this before you print it on anything.
  6. Build the flow as buttons and lists, not open text. “Book an appointment / Ask about fees / Talk to someone” converts far better than a blank box, and it removes most of the ways an AI can go wrong.
  7. Give the AI a fixed knowledge base and an explicit no-go list. Load your fees, timings, address, doctors or faculty, and services. Then forbid it from stating clinical outcomes, eligibility, success rates or discounts, and make it hand off instead. Test the list by trying to make the bot promise something. Publish that same knowledge base as plain text on your website too — those are exactly the facts that decide whether you get cited by ChatGPT and Perplexity when someone asks about your category.
  8. Set the handoff trigger. Two failed intent matches, any mention of pain, urgency, refund or complaint, or a direct “talk to a human”. Handoff should be instant and obvious to the user.
  9. Route every captured lead somewhere a human will see it. A Google Sheet plus an email or SMS alert is enough to start. What matters is that the lead exists outside the chat thread, because threads get buried.   10. Add Click to WhatsApp entry points on your website, your Google Business Profile, and Instagram bio, with a prefilled message like “I want to book an appointment”. Prefilled text tells you the source without any tracking setup. The profile has to be complete for that button to get used at all, which is the local SEO side of the same job.
  11. Add a one-line consent notice and a retention rule. You are now collecting personal data through an automated system at midnight. India’s DPDP Rules were notified on 14 November 2025 with full compliance required by 13 May 2027, so build the notice in now rather than retrofitting it.
  12. Test it from a phone that isn’t yours. Then have someone non-technical test it. You will find at least one dead end, and it’s usually in the path you thought was obvious.

What does it actually cost to run in India?

Less than most owners expect, and the pricing rules matter more than the sticker price.

Meta moved WhatsApp Business Platform to per-message pricing on 1 July 2025, replacing the older conversation-based model. Service conversations have been free for all businesses since 1 November 2024. India has its own volume-tiered rate card for utility and authentication templates, effective 1 October 2025.

Two mechanics are worth building your process around:

  • The 24-hour customer service window. When someone messages you first, a 24-hour window opens in which your replies and utility templates cost nothing. It closes after 24 hours of silence from them, and reopening it costs you a paid template.
  • The free entry point window. If someone reaches you through a Click to WhatsApp ad or a Facebook Page call-to-action and you reply within 24 hours, you get 72 hours of completely free messaging.

Read that first point again, because it’s the real argument for staffing your reply window. “We’ll get back to you Monday” doesn’t just cool the lead. It costs you money to restart the conversation.

The bot answers too well and bookings fall. Someone asks “what are your consultation charges”, the bot answers cleanly, and they leave satisfied without booking. The fix is to always attach the next step to the answer: give the fee, then immediately offer two appointment slots. That’s a conversion rate optimisation problem wearing a chatbot costume, and it gets solved the same way — by never ending a helpful answer without an action.

The team stops checking it. Week one everyone watches the dashboard. Week six the leads sit unread. This is why step 9 exists.

Someone tries to break it, and succeeds. Prospects will absolutely ask a medical chatbot whether a treatment will work. If your bot answers that, you have a problem no amount of lead volume makes up for.

You measure the wrong number. Providers report “conversations handled”, which flatters everyone. Track conversations started, replied to by a human inside 24 hours, and converted to a booking. That third number is the only one that pays for the tool.

Yes. Indian providers like AiSensy, Interakt and Wati offer visual flow builders where you assemble the conversation from buttons and conditions without writing code. Budget a few hours to map and test the flow, plus Facebook Business verification, which is paperwork rather than engineering.
